How we use your information and our lawful basis
Under the United Kingdom General Data Protection Regulation and the Data Protection Act 2018, we must have a lawful basis for each way we use personal information.
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries you send us | Legitimate interests (responding to people who contact us). Where your enquiry is about entering into a contract with us, steps taken at your request before entering into a contract. |
| Providing recruitment and IT services to business clients | Performance of a contract with our client, or legitimate interests where we deal with an employee or representative of the client. |
| Running and securing our website, preventing spam and abuse | Legitimate interests (keeping our website and the information we hold secure). |
| Sending optional emails about future opportunities to candidates who opted in | Consent, which you can withdraw at any time. |
| Keeping records needed for legal, tax and accounting purposes and handling legal claims | Legal obligation, and legitimate interests in establishing or defending legal claims. |
Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms. You can ask us for more information about this assessment.
We do not sell personal information, and we do not make decisions about you based solely on automated processing.
Who we share it with
We share personal information only where necessary, with:
- Prospective employers: only for candidates, and only after we have told the candidate about the specific opportunity.
- Service providers who support our business: for example, website hosting, email and IT providers. They act on our instructions and must protect the information.
- Professional advisers: such as accountants, insurers and legal advisers, where needed.
- Authorities: where we are required to by law, or to protect rights, property or safety.
International transfers
We aim to keep personal information within the United Kingdom. If a service provider processes information outside the United Kingdom, we will make sure the transfer is covered by adequacy regulations or appropriate safeguards, such as the International Data Transfer Agreement or the addendum to the European Commission's standard contractual clauses. You can contact us for details.
How long we keep it
We keep personal information only for as long as we need it. Website enquiries are deleted automatically 24 months after they are received, and candidate records and CVs 12 months after they are submitted. Records relating to contracts with business clients are kept for as long as needed to meet legal, tax and accounting requirements. Our Data Retention Policy sets out the periods in full.
How we protect it
We use appropriate technical and organisational measures to protect personal information. These include encrypted connections (HTTPS), access controls so that only authorised staff can view submissions, private storage for uploaded documents, protection against automated and repeated submissions, and limiting the personal information we record in system logs. No system is completely secure, so if you believe information you have shared with us has been put at risk, please contact us straight away.

- have inaccurate information corrected;
